How we handle your information

ALBEI respects your privacy. This policy explains what personal information we collect, why we collect it, and how we look after it.

About this policy

This policy applies to the Australian LGBTQ Board and Executive Inclusion Forum Limited (ABN 33 674 759 123), trading as ALBEI ("we", "us"). It covers our website, membership, events, email updates and other activities.

We aim to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), and we treat information about sexual orientation and gender identity with particular care.

What we collect

Depending on how you deal with us, we may collect:

  • Email subscribers: your email address and, if you give it, your name.
  • Membership applicants and members: your name, email address, pronouns, current role and organisation, board roles, LinkedIn profile or career summary, how you heard about us, your interest in mentoring, a photo if you choose to provide one, whether you agree to be named publicly as a Foundation member, and anything else you choose to tell us.
  • Payments: your membership level, payment status and billing details. Card details are handled by our payment provider, not stored by ALBEI.
  • Event guests: your name, contact details, organisation and any dietary or accessibility needs you tell us about.
  • Website visitors: basic technical and usage information collected through our website platform, such as pages visited and browser type.

Sensitive information

Some information we hold is sensitive information under the Privacy Act, including that you identify as LGBTQ+. We only collect it with your consent, when it relates to our activities, and only about members and people in regular contact with us.

We don't publish or share whether someone identifies as LGBTQ+ without their express permission. Being an ALBEI member or attending an ALBEI event is not taken as a statement about your identity.

How we use your information

We use personal information to:

  • assess membership applications and confirm the right membership level
  • manage memberships, renewals and payments
  • send email updates, event invitations and member communications
  • run events and programmes, including planned mentoring
  • carry out research and advocacy, using only aggregated or de-identified information in anything we publish
  • meet our legal and governance obligations as a registered charity.

Applications are seen only by the ALBEI board and anyone helping the board administer membership.

Who we share it with

We don't sell or rent personal information. We share it only:

  • with service providers who help us run ALBEI, such as our website and email platform (Wix) and our payment provider (Stripe)
  • with event hosts or venues, limited to what's needed for an event, such as guest names
  • where required or authorised by law.

Some of our service providers store information outside Australia, including in the United States. We choose providers with strong security and privacy protections.

Member directory and photos

We will only list your name, role or photo on our website, or in any member directory, with your permission. Photos are sometimes taken at events, and we'll tell you when this happens. You can ask not to be photographed, or ask us to remove a photo.

Email updates

You can unsubscribe from email updates at any time, using the link in every email or by contacting us. Members will still receive essential membership emails, such as renewal notices.

Keeping your information secure

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including limiting access to board members and volunteers who need it. We keep information only as long as we need it, then delete or de-identify it.

Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct or delete it. Members can also update some details through their account on our website.

Questions and complaints

If you have a question or concern about privacy, please email inquiries@albei.org. We'll respond as soon as we can, usually within a few days.

If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
